Work Order View – Asset Repair History

On the Work Order view, the repair history of an asset can now be seen on the right side under the Asset Info section. This will make it easy for your Technicians to see the Repair History and all the details on the same page without needing to print or flip through tabs on their browser. For Shop Module clients, this can also be seen on the Technician View.

Asset Audit

The Asset Audit view has received a facelift! Now, it’s easier to perform asset audits. If you haven’t used this feature before, it’s a handy way to verify your assets are in the correct storage locations.

Quartermaster – Asset Catalog Book

We’re excited to introduce the Asset Catalog Book report. This new report provides a comprehensive catalog of all assets, complete with scannable barcodes to streamline asset issuing and auditing processes. Each entry includes the asset number (also used as the barcode), description, category, type, and location for quick reference. Simply search Asset Catalog Book in the Search Bar to access this report.

Embedded Videos in User Guide

We are beginning to add training videos in the application User Guide. Some are for limited users; you can share the link to the videos to those users in your organization.

Technician Work Forms

We’ve improved accessibility to a new version of our Technician Work Form. Now, when selecting Print Work Form on the Work Order view, this will bring you to the newer version that has QR codes that can be scanned to pull up the Asset Summary or the Work Order. This report makes it easier to get to the information needed, reducing typing, and searching in the application.

Fleet: VIN Decoding Improvements

We’ve enhanced the VIN Decoding functionality in our application, specifically for Fleet clients. Previously, our integration with the NHTSA automatically pulled in asset information when a VIN was entered, as long as the integration was active. Based on client feedback, we’ve added more flexibility in how this data is imported.

You can now manage these options in Organization Settings > Other Settings:

  • Choose not to import any VIN data.
  • Only import data if the corresponding fields are blank.
  • Allow the integration to overwrite existing information.

The Maintenance Request Management View received a facelift! Now, you can easily see all your requests in one list and act on them quickly. You can also review closed Maintenance Requests and send emails to the requesters with a status update.

Employee Inspections

We’ve added an exciting new feature to Inspections! Employee Inspections can now be configured to allow Item Requests for failed inspection items. With this enhancement, Employee Inspections can be reviewed and actions can be taken directly from the Inspection Management View, just like Asset Inspections.

In addition, we’ve improved the Inspection Set Up View for greater efficiency. You can now easily drag and drop inspection items within groups or move them between groups to reorganize your inspection setup. No more deleting and re-entering items to rearrange sections!

Fleet: Work Order View Update

We’ve enhanced the Work Order view to provide clearer information on how a Work Order was created. A new field, Created by Employee, has been added at the bottom of the view, showing which employee initiated the Work Order. Additionally, the adjacent field, Created by, will display whether the Work Order was generated from a Maintenance Request, a Maintenance Task, or an inspection.

In the below example, Jay Williams created this Work Order via a Maintenance Request.

Preventative Maintenance Thresholds for Work Orders

We’re excited to introduce a new level of flexibility for your Preventative Maintenance scheduling. Now, you have the power to define exactly when you’d like PM services to start appearing on Work Orders – before they’re due. Set your preferred threshold in days or meters, and ensure your team gets a head start on upcoming maintenance. Prefer the current setup? No problem. If thresholds aren’t set, your system will continue to function as usual, prompting your shop to add services only when they’re due or overdue. It’s your maintenance – your way.

Improved Recalls Functionality

Our Recalls feature has been updated with a new visual enhancement to help you better manage recall progress. A completion graph is now displayed in the Recalls view, providing a quick overview of how many vehicles still require attention. You can easily manage vehicles within a recall by: Adding vehicles to work orders or maintenance requests directly from the Recalls view. Removing vehicles that no longer apply to the recall. These actions help streamline the recall resolution process and ensure accurate tracking. We are excited to announce a new report available for Fleet, called Fleet Health. This report aims to give fleet managers clarity, control, and foresight by turning raw fleet data into meaningful insights supporting smarter maintenance planning, reduced downtime, and cost optimization across the fleet. With this report, you’ll be able to: Identify at-risk vehicles – determined by factors such as overdue services, unplanned repairs, and maintenance cost ratios. Fleet: Scheduling Tab Badge Update

The badges on the Asset View → Scheduling tab have been updated to give even more information on what items are past due, so you can see at a glance what needs to be taken care of for your vehicle. Now, it takes into account expired registrations and will give the total number of expired services.
