ABOUT THE CITY OF RALEIGH POLICE DEPARTMENT
Serving the 43rd largest city in the U.S., the City of Raleigh Police Department tracks over 1,700 pieces of equipment, including police uniforms, equipment, accessories, hand-held radios, and more, all with the help of Collective Data software. Since 2005, they have been using this software to improve inventory management and meet their operational needs.
THE CHALLENGE
The department required an easy-to-use inventory management system that could be utilized by their Quartermaster personnel to track a wide range of equipment. Additionally, they needed a system that could meet the city’s requirement of reconciling their inventory with the Accounting Division at least once a year.
According to Brian Daniels, Sr. System Administrator: “We wanted something that was relatively easy to use by our Quartermaster personnel, as well as a system that was customized to suit our unique needs.”
Beyond ease of use, the police department also sought a solution that would reduce the need for IT oversight, freeing up staff to focus on more pressing issues. Daniels noted, “It provides all of the necessary perks we require from the software such as ease of use, stability, and ease to administer. All of these things add up to less oversight we have to provide, which frees up IT personnel.”
THE SOLUTION
With Collective Data, the City of Raleigh Police Department has significantly improved its inventory and asset management processes. The system has streamlined equipment issuance, replaced outdated handwritten inventories and spreadsheets, and allowed for more efficient tracking of mission-critical items. Built-in reports have made reconciling inventory with the City’s Accounting Division straightforward, ensuring accuracy and compliance. Additionally, the software’s ease of use and stability has reduced the need for IT oversight, freeing up staff to focus on other priorities. As a result, the department has saved money and improved operational efficiency, with Brian Daniels noting that the system “has proven to meet these criteria time and time again.”
