ABOUT MIDDLESEX COUNTY FLEET MANAGEMENT
Middlesex County, a New Jersey county government, manages over 2,000 assets, including light and heavy equipment for vehicle and grounds maintenance. With 30 employees, the department oversees vehicle upkeep and parts inventory while operating under staffing constraints and a limited shop size.
THE CHALLENGE
Before implementing Collective Data, Middlesex County relied on manual processes and basic systems that limited visibility and efficiency. Preventative maintenance (PM) schedules often lagged behind, with some vehicles overdue by a year or more. The lack of a centralized and efficient tracking system created challenges in managing technician workflows, labor tracking, and fleet data accuracy.
THE SOLUTION
Middlesex County adopted Collective Data to centralize and streamline its fleet management operations. The platform’s user-friendly interface, customizable reporting, and Mission Control Dashboard provided a comprehensive view of fleet operations, including overdue PMs, vehicles in the shop, and upcoming maintenance schedules.
The implementation process included seamless integration with GasBoy for fuel data and the county’s finance system, along with support for VMRS codes and Active Directory. Despite initial challenges during the data migration process, the team successfully transitioned within six months and began seeing immediate operational improvements.
